How Portals Relate to Workflow
The Workflow Tab in WorkZerk is where you create and edit existing onboarding workflow related to the current portal context.
In WorkZerk, you are always viewing data in the context of the Space (Workspace) and then whatever Portal you have switched to.
The Space context and Portal context are displayed in the Admin in the very top left hand corner.
The Workflow tab only show workflow for that particular Space > Portal.
If you want to design a different onboarding workflow, you can create a new portal. You can create a large number of portals before reaching any practical limits, so Portals are a fantastic way to separate onboarding workflow.
Include Archived
Switching this button on will display both active (unarchived) workflow in addition to archived (inactive) workflow.
Reorder Sections
Onboarding sections can be reordered by clicking the REORDER SECTIONS button. Here you simply drag each section up and down before saving the section order.
Download Onboarding
Clicking the DOWNLOAD ONBOARDING button will pop up a dialog where you can select the criteria for what onboarding actions you would like to download.
The purpose of downloading onboarding is normally to sync or import this into an external application such as a CRM, HR or accounting system, or to a spreadsheet for analysis or backup.

Templates
Templates are where you create and edit onboarding steps that then gets added to Workflow. You can’t add onboarding steps to Workflow without first creating the template it is based on.
So to get started adding Workflow in WorkZerk, create a new onboarding step template and add it to an existing Section.
Archive Section
The archive section button if located in the top left hand corner of the section displayed as a down arrow within a folder.
Clicking this button will archive the section, and all steps contained in it. Archived sections can be unarchived by switching on INCLUDE ARCHIVED and reversing the process.
Stepped / Form Section Display
Within WorkZerk there are two ways to display sections in the onboarding portal. The default display for new sections is STEPPED.
Form Section
If the Section is set to a FORM section it will display Show Form to the left of the Section name.
In a Form Section onboarding steps within the live portal for onboardees will display each onboarding step as a field under each other (much like a regular paper form).
A Form Section is ideal for displaying multiple fields such as contact information, where each field is closely related to each other for example Address 1, Suburb, City, Phone etc.
Stepped Section
If the Section is set a STEPPED section it will display Show Stepped to the left of the Section name.
In a Stepped Sections onboarding steps within the live portal for onboardees will display each onboarding step by itself, and onboardees will need to step through each step (one by one).
Stepped Sections are ideal for displaying more complex steps that might contain images, PDF links or details instructions.
Mixing Form/Stepped Sections
You can absolutely mix Form/Stepped section display types within your Workflow, so some onboarding steps will be displayed as forms, and other as steps.
Edit Onboarding Step Template
Click the pencil icon next to the onboarding step to edit the onboarding step template directly.
Bear in mind that when you editing an onboarding step template, you are changing the workflow for all Portals within the Space that also use these onboarding steps.
Archive Step
You can also archive individual steps within a section, by clicking on the down arrow contained within a folder icon next to each onboarding step. Archived steps can be unarchived later by switching on Include Archived because this will show both archived sections and archived steps when switched on.
Revoke All Onboarding Actions
The revoke all onboarding actions button is represented by a delete style button that resembles a rubbish bin.
Revoking onboarding actions is necessary when previous actions are now deemed insufficient for onboarding within this portal. Revoking actions has the effect of causing that onboardee to be ‘unonboarded’ in cases where that comliance action was required.
For example, if the onboarding step specifically required input of a value within a text box, and this onboarding step was revoked then the onboardee (providing they were not archived already) would no longer be onboarded.
You can revoke any type of compliance including input, sign, upload, open etc.
Add Step/s
Click the ADD STEP/S button to add a new onboarding step to within that section. Steps are contained within Sections. A Step is always related to an onboarding step templates.
You cannot add steps without first creating onboarding step templates (because they are tied to the template they are associated with).
Add Section
Click the +SECTION button to add a new step. You cannot add onboarding steps from existing template until you first add a Section, as all onboarding steps must be contained within a Section.
