Static Portal Option (IN PROGRESS)

A new Static Portal option will be added as a property on portals withing the Admin Area. This new property means that although the onboarding status of the onboardee will continue to be monitored, no ‘onboarding complete’ action will be triggered when complete. This can be used for example when onboarding clients where there is an ongoing relationship with the client rather than the onboarding actions being finite (they will evolve over time).

Static Portal option simply means that completing all required onboarding compliance actions (e.g. Input, Sign, Open, Upload etc.) will not trigger the usual ‘Completed’ circular progress bar, and in addition to this the onboardee will not receive an onboarding receipt. Nothing else changes, all the actions are still retained.

Linked Fields

Fields from within onboarding step templates can now be linked to internal Contact fields. This allows onboardees to update any of their contact details from within the onboarding, both now an in the future.

Export Onboarding Actions as Column Delimited CSV

Ability to export onboarding actions as a comma separated CSV file where each field/column represents a separate onboarding step template. This will make it easy to import and sync into spreadsheets or other systems and applications.

Portal Specific Templates

A new property for templates will be implemented currently called ‘Portal Only’ which will ensure that the template is only available within the portal (not the whole Space).

Onboarding Step Template Folio Groups

A new property for onboarding step templates is a free form text field called ‘Folio’. Assigning a folio name to a template will the group that template within the folio. This is very useful for creating a ‘folio’ of templates representing (for example) a form consisting of many fields.

Step templates can now be added within WorkZerk by selecting the folder, which then selects all templates contained within the folio.

Expiry Tracker

New Expiry Tracker feature that comprehensively tracks expiry dates on all uploaded files, alerting Admins to upcoming expiring or expired file uploads such as ID, certificates, accreditations etc.

Within the new Expiry Tracker screen (accessed from the main menu using the ellipsis in the top right hand corner of the Admin area) you can combine multiple filters as required such as FileName, Onboardee Name, Category, Expiry Status and Last Prompted Status.

From within the Expiry Tracker you can send an email prompt for that Onboardee to visit their portal and reupload a new, current file.

The Last Prompted date is retained, so you always know who has been prompted to upload a new file and when.

Expiry Prompt email tracking is also directly accessible, so you know whether the Onboardee has received and opened the Prompt email.

Multi Choice Template Input Fields

We are working on two new field types for onboarding step templates, being single & multiple choice. This will allow the Onboardee to select either single or multiple options from a list, either using radio buttons or checkboxes.
