The Onboarding Tab: View All Onboarding Data for a Contact
Every contact record in WorkZerk has two tabs at the top of the page — the Contact tab and the Onboarding tab.
The Contact tab shows the standard details you'd expect: name, email, company, phone number, and so on. The Onboarding tab is where things get interesting.
What the Onboarding Tab Shows
Tap the Onboarding tab on any contact record to see every piece of onboarding data that person has ever submitted across every portal in your Space!
Each portal's data is displayed in its own clearly labelled section, starting with the portal name (e.g. "Portal: Employee Onboarding"). Within each portal section, you'll see the onboarding steps grouped by their original folio headings, exactly as they were set up in the workflow.
Every step shows the data exactly as the contact submitted it, including:
Text fields — names, dates, and other typed responses
File uploads — with file type badges (Image, PDF, Selfie), the filename, upload date, file size, and a link to view the file
Selections — the option they chose (e.g. "Australian Citizen")
Checkboxes — whether they ticked it, along with the date and time
Signatures — their signed acknowledgements
Multiple Portals, One View
If a contact has been onboarded through more than one portal, each portal appears as a separate grouped section on the Onboarding tab. For example, a contractor might have completed both an "Employee Onboarding" portal and a "Site Induction" portal. Both sets of responses appear on the same tab, clearly separated by portal name.
This means you never need to hunt through individual portals to find someone's data. It's all in one place, on their contact record.
Unlimited Custom Fields
Here's the real power of the Onboarding tab: every onboarding step effectively becomes a custom field on the contact record.
Traditional CRMs limit you to a fixed set of contact fields — or charge extra for custom fields. In WorkZerk, every question you add to a portal workflow automatically creates a new data point against the contact. Need to capture a food safety certificate? Add a file upload step. Need a date of birth? Add a text field step. Need proof of right to work? Add a selection step.
There's no limit to the number of portals or steps you can create. Each one adds more structured data to the contact record, viewable instantly from the Onboarding tab.
How It Works Behind the Scenes
When someone completes an onboarding portal, their responses are stored against their contact record. The Onboarding tab simply pulls together all of that data and presents it in a clean, read-only view grouped by portal and folio.
Because contacts can participate in multiple portals within the same Space, the Onboarding tab grows with every new onboarding interaction. This turns WorkZerk into a lightweight CRM where the onboarding process itself builds out each contact's profile over time.
Common Use Cases
View uploaded credentials — licences, certificates, ID documents and selfies are all accessible from the Onboarding tab without leaving the contact record
Check compliance status — see at a glance what a contact has submitted across all portals
Verify personal details — confirm the information a contact provided during onboarding, such as emergency contacts, bank details, or qualifications
Audit trail — every submission includes a timestamp, so you can see exactly when each piece of data was provided
Tips
The Onboarding tab is read-only. To update onboarding data, the contact needs to resubmit through the portal, or an admin can revoke and request re-submission of specific steps.
If a contact hasn't been onboarded to any portal yet, the Onboarding tab will be empty.
File uploads can be opened in a new browser tab by tapping the external link icon next to the file details.
