How Spaces Work in WorkZerk

Spaces are the containers that hold all data within WorkZerk. You can think of a Space as a “workspace” — a contained, logical area that is completely separate from other Spaces.

In general, all information and data stored within a Space can only be accessed and used inside that Space.

Because of this, deleting a Space is a significant action. In almost every other situation where you “delete” records in WorkZerk, you are actually archiving them. Archiving simply flags the record as inactive; it does not physically remove the data.

If you stop using WorkZerk for an extended period and do not maintain your subscription, the data within your Spaces will eventually be progressively deleted. The Space Owner will receive routine warnings before this happens.

There may also be times when you want to delete your data for privacy reasons, especially since many uploaded files may contain sensitive information.

WorkZerk is designed with sensitive data in mind, and the Space deletion process is intentionally thorough.

How to Delete a Space

To delete a Space (once you are certain you want to proceed), go to EDIT SPACES, open the Space you want to remove, and start the deletion process by selecting DELETE.

Only the Space Owner can request the permanent deletion of a Space.

You will be asked twice to confirm your decision.

After confirming, several things happen in the background:

  • The Space is marked for deletion and a countdown begins.

  • All Space Users are immediately removed from the Space.

  • Within 24–48 hours, the Space, all associated data, and all uploaded files will be permanently deleted.

  • Once deleted the Space Owner will receive a confirmation email.

How to Reverse the Space Deletion Process

If you change your mind, act quickly. The Space Owner must log back into WorkZerk.

They will not be able to view the “deleting” Space or any of its data, but they can edit the Space from EDIT SPACES.

To cancel the deletion, simply uncheck the red AWAITING DELETION checkbox and save.

As long as this checkbox remains unchecked, the Space will not be deleted.

How to Delete a User

It is not possible to delete a User record within WorkZerk. However, if you contact us, we can obfuscate your User record (replace it with random characters). A User record typically contains only basic information such as your email address and phone number.

How to Delete or Archive a Space User

You cannot delete Space Users, but you can archive them from the Space Users section.

How to Delete Other Records

Other records within WorkZerk cannot be permanently deleted, but they can be archived so they no longer appear. To completely remove all information, the entire Space must be deleted using the process described above.

How Archiving Works

When you archive something in WorkZerk, a flag is set on the record indicating that it is archived. Because this is simply a flag in the database, it can be reversed at any time by unarchiving the record.

This is similar to marking a record as “Active” or “Inactive.”

In short:

  • Archiving makes a record hidden and inactive.

  • Unarchiving makes it visible and active again.
