Restricting Work to one Specific Guest Tag

Often times there are reasons to restrict the Work to a specific Tag such as ‘Medical’, ‘Visitor’, ‘Volunteer’, ‘Security’ etc. Tags can be setup for any purpose including status, skills, supplier types etc.

Tags are setup on the Tags tab in the Admin area.

Portal Guests can be assigned multiple tags in the Admin area by clicking on the Guest record. In the example below, Aileen has been assigned both the Florist and Medical tag.

Note: Tags are inherited by Guests from their Contact Record. This means that you only have to setup Tags once correctly in the Contact record, and when Guests are created for new events the existing tags will be populated from the Contact record.

The method used to restrict Work to a specific tag depends on whether that Work has been created already (or not).

For existing Work you can restrict it to a particular tag by switching on Bulk Edit and assigning a Tag Restrict (Add):

ADMIN > ACTIVITY > BULK EDIT

Select all the Work you would like to Tag Restrict, and apply the bulk edits.

For new work he process is different, because by changing the Tag Context to your desired Tag each new Activity added to the Runsheet will automatically be restricted just to that tag. Then it’s just a case of adding all the Work one-by-one and it will be restricted to that Tag Context.

You can also use the Bulk Edit feature to remove the assignment of a Tag from Work by clicking on the + symbol and it will change to a - symbol (implying this will remove that tag - not add it).

ADMIN > RUNSHEET > TAG CONTEXT (CHANGE TAG)
