Portals Guide
Creating a new portal is the first step in ‘getting started’ with WorkZerk.
All Portals are contained within the current Space context. You can create multiple Spaces (Workspaces) that hold multiple portals.
To create a new Portal, click on the Portals tab within Admin.
Click Add/Save to start setting up your new portal.
Here are the available fields, with some comments:
Portal Name
This will show everywhere within WorkZerk, in the Portal and in related emails and updates. Make your name as descriptive as possible, The Portal name field is a required field.
Tagline
This may appear underneath or side-by-side with the Portal Name. The Tagline is a sub name, and can be used an additional field to describe the portal. If you are setting up a portal for site or location, this would commonly contain the physical address or branch name.
Main Location/Venue
Here you will either select from the dropdown an existing Location from Contacts, or you can create a new location. The Main Location/Venue field is optional.
Pax
Number of persons. This field is displayed in the Portal, and applies mainly to portals for events where knowing the number of persons attending is helpful for everyone.
Start Time
The official start time of a portal with scheduled work as shown publicly or advertised on the invitation. Individual crew members may have their own official Invite Time set in their Guest record.
Start Date
The offical start date of a portal with scheduled work as shown publicly or advertised on the invitation. Individual guest’s may have their own official Invite Date set in their Guest record.
End Time
The official end time of the portal with scheduled work, as shown publicly or advertised on the invitation.
End Date
The official end date of the portal with scheduled work, as shown publicly or advertised on the invitation.
Organiser Contact Name
This field populates automatically from the main Space owner, and is shown on the runsheet.
Organiser Company
This field populates automatically from the main Space owner, and is shown on the runsheet.
Organiser Email
This field populates automatically from the main Space owner, and is shown on the runsheet.
Organiser Phone
This field populates automatically from the main Space owner, and is shown on the runsheet.
Portal Token
This field is the security token used to validate access to the portal. This field cannot be changed, however you can generate a new Portal Token for security reasons noting that this will invalidate or prior links. Contact 1pm Support if you are unsure of when to use this feature.
Runsheet Token
This field is the security token used to validate full access to all scheduled work. This field cannot be changed, however you can generate a new Runsheet Token for security reasons noting that this will invalidate or prior links. Contact WorkZerk Support if you are unsure of when to use this feature.
Inactive
Setting a Portal to inactive is required sometimes within WorkZerk to free up more space for additional Active portals. Inactive Portal cannot be edited or accessed by Guests.
Blurb
This is your text blurb or description of the portal that will show on the runsheet and other forms of communication such as onboarding emails. The blurb might contain a description of what the portal is all about. The Blurb field is a text field only and is limited to 200 characters.
